BOOKING CONDITIONS
Booking Conditions – Rowes Retreats (R&R)

We are Rowes Retreats, referred to in these conditions as R&R.
1. Contract of Hire
The contract of hire is between the guest and the property owner, with R&R acting as the booking agent on behalf of the owner. The contract is considered active once the deposit (25% of the total holiday price or the full amount if booked within 2 weeks of arrival – or 1 week for flexible rate bookings) is paid and a booking confirmation is issued by R&R.
Bookings made online are provisional until confirmed in writing by R&R via email.
2. Payment Terms
• Non-refundable Rate: Final balance is due no later than 2 weeks before arrival.
• Standard Rate: Final balance is due no later than 2 weeks before arrival.
• Flexible Rate: Final balance is due 1 week before arrival.
Failure to pay on time may result in the booking being cancelled and the property re-advertised. The guest remains liable for the full cost of the booking, and the deposit is non-refundable.
3. £100 Deposit Scheme
Where a £100 holding deposit has been accepted, the remaining balance is due 6 weeks before arrival. If the booking is cancelled, the full amount remains payable and will be charged automatically.
4. Booking Fee
A non-refundable booking fee of £40 is included in the total holiday cost. This fee covers the administration and handling of your booking.
5. Damage Waiver or Security Deposit
Most properties require a non-refundable Damage Waiver Fee, property-specific, to cover accidental damage. This waiver is not insurance and does not cover all forms of damage.
If no waiver is applicable, a refundable Security Deposit will be pre-authorised on your card at the time of final payment. This is also property-specific and will be released within 7–14 working days after departure, subject to inspection. Guests are liable for any damage exceeding the deposit or waiver.

6. Cancellations
If you cancel a confirmed booking, your booking fee is non-refundable. For nonrefundable bookings you are liable for the full balance unless the property is rebooked. If rebooked, a refund will be issued minus the deposit, any payment charges, and potential discounts applied to secure the replacement booking.
For standard bookings if you cancel prior to 2 weeks before your arrival date then your deposit will be refunded minus your booking fee.
For flexible bookings if you cancel prior to 1 week before your arrival date then your deposit will be refunded minus your booking fee.
We strongly recommend taking out holiday insurance to cover cancellation costs and other risks.
7. Early Termination & Force Majeure
R&R may cancel the booking at any time due to:
• Your breach of terms
• Property faults (e.g. leaks, electrical issues)
• Force majeure (e.g. flood, fire, war)
If so, a proportionate refund may be offered minus associated costs.
8. Arrival & Departure
• Check-in: From 4.00pm
• Check-out: By 10.00am
Early access cannot be guaranteed. If you arrive early without prior approval, you do so at your own risk.
9. Guest Responsibilities
You agree to:
• Keep the property clean and tidy
• Report any damage or issues within 48 hours
• Avoid nuisance to neighbours
• Adhere to waste and recycling rules (admin fee of £25 applies for incorrect disposal)
• Leave BBQs clean (charged at £25/hour if not)
• Not exceed occupancy limits
• Supervise pets (where permitted); no pets on furniture or left unattended
• Be liable for all damages up to £1000, with possible further claims if necessary
10. Facilities Disclaimer
Use of hot tubs, pools, gyms, or proximity to water is at the guest’s own risk. R&R and the property owners accept no liability.
11. Utilities and Maintenance
R&R is not responsible for temporary loss of utility services (e.g. water, power). Property maintenance is handled by an Independent management and may be subject to regional delays (particularly in rural/coastal Cornwall).
12. Complaints
All complaints must be reported within 24 hours of arrival. R&R acts as an intermediary between guests and property owners and cannot be held liable if parties are dissatisfied with the resolution.
13. Behaviour & Zero Tolerance
R&R enforces a zero-tolerance policy for abusive, violent, or threatening behaviour toward staff or third parties. Such behaviour will result in immediate termination of the booking without refund. No appeals process will be offered.
14. Property Use
• No smoking inside properties
• No parties unless agreed in writing
• No entry prior to check-in unless confirmed
• You must permit reasonable access for maintenance/inspection
• Personal belongings are left at guests’ own risk
• Any articles left behind can be returned for £15 + postage
15. Legal and Jurisdiction
All bookings are governed by English law. Any disputes will be handled in the local court where the property is located.
16. Final Agreement
By confirming your booking with R&R, you:
• Acknowledge these terms and conditions
• Agree to care for the property
• Declare you are over 18 years of age
• Accept full responsibility for your party
